Top-Up and Balance Movement Concept

Mastering financial control is no longer a luxury in today's fast-paced business world; it's a requirement. With our Prepaid Card, flexibility meets innovation, ensuring you're always ahead in the financial game. Here, we'll walk you through the art of effortlessly managing your Prepaid Card balance.


About Top-Up Balance

Prepaid Cards operate uniquely – you must top up balance before spending. This is a sharp contrast to credit cards, where you’re provided a set monthly limit (explore more about Prepaid Cards here). This unique feature ensures a limit on spending, promoting financial discipline. You can effortlessly add balance to your Prepaid Card using two (2) methods:

  1. Direct Transfers using Virtual Accounts: A straightforward method of adding balance. You can easily choose your preferred Bank Virtual Account from these 5 banks: BRI, BNI, Mandiri, CIMB Niaga, Permata.

  2. Requesting Funds from the Company Balance: A newer, efficient approach where you can ask for the permission of your company to move balance from company balance to your cards. This method is indeed preferable, as the enhancement offers a multitude of benefits.

    1. Streamline the process, eliminating the need to go back and forth between two platforms and go through the additional step of using virtual accounts.  

    2. Centralized spending, giving you better control over the money flow in your company.  

Additional layer of security is added here: While Business Owners and Admin can top up any employee's card with ease, Employees and Bookkeepers can initiate requests only for their own cards. Moreover, there's an approval layer to ensure checks and balances for them.


Balance Movement

Why lock your funds when you can maneuver them? With our balance movement feature, It's all about options. Either return the balance back to the company or shift it to another card, your funds are moveable without hassle! Our system offers two (2) mechanisms: 

  1. Return Back to the Company: A feature that lets you return unused funds back to the company balance.

  2. Transfer between Cards: Facilitating inter-departmental or inter-employee transfers for optimum resource allocation.

Same goes like top-up balance, for Business Owners and Admins, moving balance to any other cards in the company is a breeze. On the other hand, Employees and Bookkeepers can only initiate move balance requests for their own card, with a built-in approval system to ensure transparency and control.


How to Top Up Prepaid Card Balance

Navigating the business landscape requires preparedness for unexpected expenditures. Whether it's an unanticipated client dinner or an urgent need for resources, a topped-up corporate card ensures you’re never caught off guard. Here’s your step-by-step guide to adding balance quickly.


There are 2 simple steps to add balance to a Prepaid Card in Jack Portal. Let's dive in:

  1. Access Card Details & Select 'Top Up'
    Log in to Jack Portal. Click the Corporate Card menu at the side bar, then click the Prepaid tab and choose the specific Prepaid Card to open the card details. You will see the card balance amount and the Move and Top Up button beside it. Select the Top up button to initiate the process of adding up the balance. 


  1. Pick Your Preferred Top-up Method
    You may have two alternatives for adding balance to your card, depending on your needs and purpose. Consider and choose from the following options:

    1. Top-Up from the Company Main Account (Company Balance)

      1. Input your desired top-up amount depending on your limits or needs. For Business Owners or Admins, you can see the company balance limit, thus you cannot top up exceeding the money in your company balance.

      2. Put the top-up reason. After that, It's essential to double-check your entered amounts to prevent errors. This review ensures the amount you've entered aligns with your intended top-up value. Click the Continue button to proceed.

      3. For final confirmation, enter your Jack PIN.


  1. Top-Up Using a Virtual Account

  1. Access the Virtual Account List

You can top up your card balance using various Virtual Account selections. Virtual Account (VA) is the digital version of bank accounts used for electronic transactions. Choose which VA you would like to use.


                                    ii. Transfer Funds Follows the Payment Instructions

Now, proceed with transferring funds to the provided VA number by following the payment instruction. The transfer can be made through your preferred online banking platform or mobile banking application. Minimum amount of top up is IDR 10.000.

To avoid the mistake of inputting the Virtual Account number incorrectly, it is recommended to copy and paste the Virtual Account details directly from Jack to your bank platform. This helps prevent any typographical errors and ensures the funds are transferred to the correct destination.


  1. Immediate Card Balance Update

Whatever methods you use, as soon as you transfer the funds, your card balance is automatically updated. There's no waiting period - your top-upped balance is ready for use instantly. If it’s not automatically updated, you can alternatively click the Refresh button (shown below). You can check the top-up history in the Transaction page.



Balances for Employees and Bookkeepers will be updated in real-time once their requests are approved, whereas balances for Business Owners and Admins will be updated instantly without the need for approval.


How to Move Prepaid Card Balance

At times, you might need to move your card's balance, either back to the company or to another card. This feature adds flexibility to your corporate card, ensuring you can optimize balance as situations demand in real-time. You can also take greater control of card fund allocation. Here’s how you can do it in Jack Portal:

  1. Go to Card Details & Select 'Move'
    Log in to Jack Portal. Click the Corporate Card menu at the side bar, then click the Prepaid tab and choose the specific Prepaid Card to open the card details. You will see the card balance amount and the Move and Top Up button beside it. Then select the Move button to initiate the process of moving up the belance. 

  1. Choose the Destination
    Based on your needs, you can decide where the funds should go, Either you're returning funds back or moving them to another card, here's how:

    1. Return Money Back to the Company

  1. Based on the company's immediate needs or your card’s excess, decide how much money needs to be returned back.. Put the amount correctly and provide a reason or description. In the corporate world, clarity is king. Even a succinct description like "project realignment" or "budget surplus" can offer valuable context for the future. After that, click the Continue button.

  1. Before finalizing, dedicate a moment to double-check all the details. Ensure the amount, description, and other details are in harmony. Once satisfied, proceed.

  1. For final confirmation, enter your Jack PIN.

  1. Move the Money to Another Card

  1. Choose which card you would like to move the money to. For Admin and Business Owners, all company cards will be visible whereas Employees and Bookkeepers will only see their own.
  1. Decide how much money needs to be returned back. Input the amountadding a brief description for clarity. This might seem redundant, but in a month or year, this tiny note will paint a clearer picture of the transaction's purpose.

  1. Before pushing forward, ensure all your inputs are correct. After a thorough review, confirm your transaction.

  1. For final confirmation, enter your Jack PIN.

  1. Immediate Card Balance Update

Whatever methods you use, as soon as you move the funds, your card balance is automatically updated. There's no waiting period - the sender’s card amount will be reduced and the receiver’s card amount will be added instantly. If it’s not automatically updated, you can alternatively click the Refresh button (shown below). You can check the balance movement history in the Transaction page.



Balances for Employees and Bookkeepers will be updated in real-time once their requests are approved, whereas balances for Business Owners and Admins will update instantly without the need for approval.
