About Your Subscription Billings

Before diving into the management process, it's essential to have a clear understanding of your subscription billings. Identify the subscription plan you're currently subscribed to, along with its pricing and billing cycles. As Seed Plan is free, you only need to pay if you subscribe to Growth or Custom plan with the price agreed upon in the early setup. Familiarize yourself with how subscription billings in Jack work.


Billing Cycle

The billing cycle for all of Jack’s subscription plans is every 30 days for monthly basis plans or every 365 days for yearly basis plans. The billing cycle starts from the subscription plan activation date and will roll out periodically based on your billing cycle preference. You will get your billing statement before starting a new billing cycle and you must pay it maximum on the due date or before the starting new billing cycle again. We understand the importance of timely payments, which is why we provide convenient reminders. You will receive two reminders: 7 days before your billing cycle ends, and another 1 day before the last date of the billing cycle. These reminders ensure that you never miss a payment and can manage your bills efficiently.


Monthly

If you choose a monthly billing cycle, let's say your subscription plan is active on January 1, 2023, this means that you have already paid your first billing cycle for the activation. You will have access to all the benefits of your chosen subscription until January 31, 2023. January 31, 2023, is the last date of the first billing cycle. We will send the Business Owner and Admin a billing statement either through email or you can easily find and download it on your Plans page in Jack Portal. To ensure you don't forget, we'll also send you reminder emails before the last date of the cycle.


Yearly

Alternatively, you may opt for our yearly subscription. For example, if you subscribed and paid for the first billing cycle upfront on March 31, 2023, you'll enjoy exclusive benefits and features until March 30, 2024. To continue accessing these benefits in the next cycle, you'll need to pay the billing on March 30, 2024. Business Owner and Admin can easily find and download the billing statement on the Plans page in Jack Portal or find it in your email. Rest assured, we'll remind you before the payment last date so that you don't miss out.


Payment Method

You can pay your subscription billing using our Bill Payments product or manual bank transfers. By utilizing our Bill Payments product, your company can benefit from centralized spending expenses with affordable fees, making expense report reconciliation a breeze. If it is more convenient to pay the subscription billing using bank transfer, you can find Jack's bank account information inside the billing statement. If you choose to pay using a bank transfer method, to ensure the smooth activation of your subscription plan for the upcoming billing cycle, please remember to share your payment receipts with your dedicated Account Manager.


Once the Account Manager confirms receipt of the payment, you will receive an email notifying you of the successful transaction. This email also applies if you pay the bills using Jack Bill Payment.


Billing Due Date

The billing due date is the deadline for making payment for your Jack subscription. It occurs 7 days after the end of the billing cycle and serves as a reminder to settle the payment before a certain date to maintain uninterrupted access to Jack's expense management software. You will receive notifications regarding the billing due date through the subscription billing system and email notifications. The last date of the billing cycle is set 30 days after your subscription is activated.

  • Subscription Billing
    Upon subscribing to Jack, you will receive a detailed bill via email and the Jack portal. This bill contains essential information, including the billing due date, making it easy for you to stay on top of your payment obligations.
  • Email Notification
    We understand the importance of timely reminders. Therefore, we send an email notification a few days before the due date, reminding you of the approaching deadline. This way, you have ample time to make the necessary arrangements and ensure a smooth payment process.


To maintain the quality and reliability of our service, it is crucial that payments are made promptly. In the event that you make a payment after the billing due date, your account will be temporarily suspended, and you and your team members will not be able to perform certain tasks within the platform until you pay the bills again. This measure is implemented to encourage timely payments and ensure fair usage of our resources. Learn more about how to resolve a suspended account here.


Find Subscription Billings Information

For now, only the Business Owner and Admin of your company account can see the subscription billing information. The account above the Seed plan can see the subscription and billing information and pay for it. It can be accessed only in the Jack Portal. You can see more information on your subscription and billing by following these steps:

  1. Log in to your Jack Portal and navigate to the profile icon on the left-bottom corner of the Jack Portal.
  2. Click Plans.

  3. Inside the Plans page, you can see your active subscription plan in detail. Information you can see on this page includes:
    1. Seats Used
      Seats Used refers to the number of active users within your company. It indicates how many individuals in your company are actively using Jack expense management features. Monitoring your Seats Used helps ensure that you have the appropriate number of active users for your team and enables efficient collaboration across your organization.

    2. Active Corporate Cards
      Active Corporate Cards refers to the number of company-issued payment cards that are currently active and usable within the Jack platform, both for Physical, Prepaid, and Virtual Cards. These cards are typically used by employees to make business-related purchases and track expenses seamlessly. Keeping track of Active Corporate Cards allows Business Owners and Admins to manage card usage, set spending limits, and monitor overall company expenses.

    3. Billing Email Address
      The Billing Email Address is the designated email address where all billing-related communications and invoices from Jack are sent. It serves as the primary point of contact for any billing inquiries or notifications related to your subscription. It's important to keep your Billing Email Address up to date to ensure timely receipt of important financial information and to stay informed about any changes to your subscription or billing details.

    4. Active Plan in the Latest Period
      Active Plan in the Latest Period indicates the type of subscription plan that is currently active for your Jack account during the latest billing cycle or specified period. This information helps you identify the features, limitations, and benefits associated with your current plan. Understanding your Active Plan allows you to make informed decisions about upgrading or downgrading your subscription based on your organization's evolving needs.

    5. Active Users
      Active Users represent the number of individuals within your organization who are actively using the Jack expense management software. It gives you an overview of how many employees are utilizing the platform and engaging with its features. Tracking Active Users allows you to gauge the level of adoption and ensure that your team members are effectively managing expenses, thus maximizing the benefits of the software.

    6. Active Physical Cards
      Active Physical Cards refers to the number of physical payment cards issued by Jack that are currently active and available for use by employees. These cards can be used for in-person purchases, enabling convenient expense tracking. Monitoring the status of Active Physical Cards helps Business Owners and Admins maintain control over company spending while providing employees with an efficient way to manage expenses.

    7. Subscription Billing Amount
      Subscription Billing Amount is the total cost associated with your Jack expense management software subscription for a given billing cycle. It represents the amount you are billed periodically for using Jack's services. Understanding the Subscription Billing Amount helps you track and manage your organization's financial commitments and allows for accurate budgeting and expense forecasting.

    8. Download Statement
      Download Statement enables you to save an invoice of your company's subscription fee detail within a specified period. This statement provides a comprehensive overview of subscription costs made using Jack. Take a look at what the invoice will look like below:


Edit Billing Address

If you need to change the billing email address for the primary invoice subscription receiver, you can click the Edit Address button inside the Plans page. Don’t forget to click the Save Address button after changing the billing email address. The next billing cycle will be sent to this new billing email address.
