Local Transfer is a reliable and cost-effective solution that simplifies the process of disbursing money to multiple bank accounts and e-wallet. This article will explain to you on how to make a Local Transfer in Jack.
Create a Local Transfer in Jack Portal
Let’s start your first local transaction with Jack! Anyone who is assigned as a Drafter can create a Local Transfer in Jack Portal (not available in Jack App yet), the request then goes through a secured reviewing and approving/rejecting process by Approver and Releaser before disbursing to one or multiple recipients simultaneously. Drafter, Approver, and Releaser have been appointed since the beginning using the approval workflow (read here). Minimum amount transfer that you can make per recipient is IDR 10.000 with no maximum.
There are 9 easy steps to create your Local Transfer in Jack Portal:
Log in to your Jack Portal. Click Create at the top right of the screen.
From the dropdown button, select the Local Transfer menu.
Input a batch name for your transaction. Pick a name for your transaction so later you can track it on the report easily. After filling the name of your batch, click Next.
You have two options to fill the recipient data: use CSV template from Jack or you can fill one by one directly on the dashboard.
If you only want to transfer to a few recipients, it is much easier to input the recipient data one by one on our dashboard (use the Empty Table option). Fill recipient name, bank account name and number, email, amount in the provided table. If you want to add a new recipient(s), just click the Add Empty Row (fill the table manually) or Add From Recipient List (select from registered recipients in the platform) button at the top right of the page.
If you want to transfer to many recipients at once, choose the CSV option. We can process up to 1000 rows in one batch. Click Next after you choose how you’ll input your recipient details. In the following steps, we guide you with filling the recipients details using CSV.
Download the template and fill the CSV template with your company’s data. Fill all columns required in the CSV format. Ensure all data is inputted correctly.
Upload the filled CSV and let our system validate each of every row. We will validate every bank account on the CSV and give you an error if there’s a not found bank account or different bank name. If it’s already successfully uploaded, then click Next to continue.
Please check all transfer details and ensure all data is input correctly. If you find there’s recipient data that you would like to edit, you can click the pencil icon beside the field. If you would like to delete a transaction, you can click the trash bin icon at the right end of each row. You can also add the new recipient data by clicking Add Empty Row button to fill it manually inside the table or Add from Recipient List to fill it automatically from the Recipient List database of your company (this contains a list of recipients who had prior transactions with your company). After reviewing, click Validate to continue. The validation process will take a while, please wait and don’t close the screen.
If there’s an issue on the bank validation, we will give you the information on the specific mistake you need to revise. Just click on the wrong column and edit it directly. If there’s no issue on the bank validation, submit it and let us do the magic! You cannot edit or make any further changes once it’s submitted. Check it again for the last time, then click Submit.
Congrats! Your Local Transfer request has been submitted and will be sent to the Approvers and Releaser to review and approve/reject the requests before disbursing to the recipient(s). Monitor your transaction status in Jack Portal or Jack App by clicking on the Transactions menu (for easier tracking, filter Type = Local transfer).
How to Review a Local Transfer as an Approver
After the Drafter submitted the request, the transaction status will remain Pending Approval. It means there’s the action required from Approver and Releaser to approve and release the payment for the request. Approver and Releaser have been appointed since the beginning using the approval workflow (read here). Approve or reject a transaction can be done easily via Jack Portal and Jack App.
Review Local Transfer in Jack Portal
Log in to Jack Portal, then navigate to the Task menu located on the left sidebar. Within this section, you will find the Require Approval section, which provides a list of transactions that need to be reviewed and approved by you as the approving authority. Select a transaction or several transactions (tick the box to select some) to start reviewing. In this article, we’ll only guide the approval process for one request, you can read here if you want to review several requests at once.
A transaction details will pop up on your window, review it thoroughly. If you decide to reject a transaction, click the Reject button. you can fill in the reason for rejection before clicking the Reject Request button. This action can not be undone, be careful!
If you decide to approve it, make sure the transaction details and the total amount is correct. Then, proceed by clicking the Approve button and enter your unique Personal Identification Number (PIN). After entering your PIN, click Confirm to give the approval.
Congratulations! You have successfully approved one Local Transfer request. Close the page and review other requests.
Review Local Transfer in Jack App
Open the Jack App, in the Home menu, you will be able to see the pending tasks, as well as alerts and and attention items. Click on See all to view all pending tasks.
Select Require Approval.
Choose the Local Transfer that you wish to review.
You can see the details of the Local Transfer request. Decide whether to Approve or Reject it.
If you choose to approve the Local Transfer request, a confirmation slider will appear from the bottom of the screen, click Approve to confirm the Local Transfer approval.
Input your Jack PIN correctly.
Congratulations! You have successfully approved the Local Transfer request.
However, if you choose to reject the request, click the Reject button, then you will be prompted to fill in the rejection reason for the Local Transfer. Click Reject to proceed to the next step.
You have successfully rejected the Local Transfer request.
How to Release a Local Transfer as a Releaser
After getting the approval from Approvers, the transaction status is still Pending Approval and the last step is getting the approval from Releasers. Releaser is a special type of Approver who possesses the authority to release funds for approved transactions, enabling the completion of the financial transaction. Learn the difference between Approver and Releaser here. Approve and pay or reject a transaction can be done easily via Jack Portal and Jack App.
Release Local Transfer in Jack Portal
Click the Task menu located on the left sidebar. Within this section, you will find the “Release Payment” section, which provides a list of transactions that need to be reviewed and approved by you as the approving authority. Select a transaction or several transactions (tick the box to select some) to start reviewing. In this article, we’ll only guide the approval process for one request, you can read here if you want to review several requests at once.
A transaction details will pop up on your window, review it thoroughly. If you decide to reject the transaction, click the Reject button. Next, you can fill in the reason for rejection before clicking the Reject request button. This action can not be undone, be careful!.
If you decide to approve and pay the transaction (release the transaction), make sure the transaction details and the total amount is correct. You can not edit the amount once released. If your company balance is insufficient, you can top up your balance first by following the guidelines here. In Jack Portal, you are also prompted to set the payment schedule. You can see how to schedule a transaction by reading this article. Finally, click the Approve & Pay or Approve & Schedule button.
You are prompted to input your PIN, then click Confirm to confirm your approval to release the payment for the Local Transfer Request request.
Finally, you have approved and released the payment for one Local Transfer request successfully. Click the Close button and start reviewing other approval requests.
Release Local Transfer in Jack App
Open the Jack App, in the Home menu, you will be able to see the pending tasks, as well as alerts and attention items. Click on See all to view all pending tasks.
Select Release Payments.
Choose the Local Transfer that you wish to review.
You can see the details of the Local Transfer request. Decide whether to Approve & Pay or Reject.
If you choose to approve & pay, a confirmation slider will appear from the bottom of the screen, click the Approve & Pay button to confirm your approval. Ensure the total payment is correct because you can not edit the amount once released. If your company balance is insufficient, you can top up your balance first by following the guidelines here. Then, enter your Jack PIN, and the payment will be released.
Congratulations! You have released the payment for the Local Transfer request.
However, if you choose to reject the request, click the Reject button on the Local Transfer details page.
After that, you will be prompted to fill in the rejection reason for the Local Transfer. Click Reject to finish the process.
Your Local Transfer release has been rejected.
